What to check on a rental walkthrough / move-in inspection

A move-in inspection checklist documents the condition of every room, appliance, and fixture in a rental before you start living there, with photos and a signed form that both you and the landlord keep. It matters because Ohio's security-deposit law lets a landlord deduct for damage beyond normal wear — a dated record proves what was already there.

Why do a move-in inspection before you unpack?

A move-in inspection creates a dated, signed record of your rental's condition on day one — before any of your own wear and tear could be blamed on you. Under Ohio Revised Code 5321.16, a landlord must return your security deposit within 30 days after you move out and provide an itemized list of any deductions for unpaid rent or damage beyond normal wear.

Without a move-in record, it's your word against the landlord's about what was already scuffed, stained, or broken. Room-by-room checklist: what to check

Walk through slowly, room by room, and test things rather than just looking at them — open every drawer, run every faucet, and flip every switch. Note anything that isn't working, and take a photo of anything with existing damage, no matter how minor.

What to do with the completed checklist

Fill out the checklist together with your landlord or property manager whenever possible, and both parties should sign and date it. If a joint walkthrough isn't offered, complete your own checklist on move-in day, photograph every issue with your phone's default camera (which time-stamps the file), and send a copy to your landlord in writing so there's a dated record on file.

  • Photograph or video every room, including inside cabinets, closets, and appliances
  • Note the reading on any utility meters that transfer to your name
  • Keep a copy for yourself and confirm the property manager has one on file

What if you find a problem during the walkthrough?

Report it in writing before you move your belongings in, so it's clear the issue existed on day one rather than being something you caused. Minor cosmetic items are usually just noted on the checklist, while anything affecting habitability — no heat, a major leak, a broken lock — should be flagged for repair immediately.
